About the Position

Welcome to Team City! As an administrative coordinator with us, you will provide administrative support to the principal team and contribute to effective and well-functioning administrative processes in the organization. You will work closely with three of the team’s principals and support them in administrative matters within the area of operations. The role involves many points of contact, and you will become an important part of an engaged team where your contribution makes a difference.

The work involves managing documentation and administrative processes on behalf of the principals, as well as contributing to structure, follow-up, and quality in the organization. The role is varied and includes both recurring tasks related to the operational calendar and tasks that arise continuously based on needs identified together with the principals. You will also be the contact person for external suppliers and act as support in the budget process.

Examples of Tasks:

  • assist the principals in work with budgets, operational plans, interim reports, and other operational follow-ups
  • provide qualified administrative support and coordinate administrative tasks within the area of operations
  • ensure that administrative routines are followed and developed
  • participate in work related to premises and work environment issues, such as safety rounds and self-control
  • work and document in operational systems such as Personec, Raindance, and IST
  • be the contact person for external suppliers and handle purchasing and contract issues
  • coordinate and plan meetings and prepare materials and follow up on decisions

About the Workplace

You will have your office at Engelbrektsskolan by the sluice. In Team City’s administrative premises, six principals, administrators, and special educators work. You will work with three of the principals and five preschools. As an administrative coordinator, you will be part of the administration’s administrative network.

Within the Preschool and Primary School Administration, approximately 4,530 employees work. We meet the young residents of Örebro from their first day in preschool to their last day in primary school.

Qualifications

To thrive in this role, you need to have a good ability to plan, organize, and prioritize your work. You work in a structured and methodical way and follow up on issues and details carefully. The role requires initiative and the ability to drive work forward within given frameworks. You find it easy to collaborate with others and create good relationships at work. You also have good communication skills and can adapt your way of communicating according to the audience and situation.

At the same time, you take responsibility for your tasks and work in a way that contributes to the overall operation. You are confident and stable and have the ability to handle different situations in a professional and balanced manner. The role is varied and requires you to handle multiple tasks simultaneously, including more complex tasks such as budget work. Therefore, you need to be flexible and able to adapt to changing circumstances and needs in the organization.

You have a good command of the Swedish language, can express yourself well in speech and writing, and have good computer skills as the work involves a lot of documentation and work in operational systems.

Requirements:

  • university or college degree of at least 180 higher education credits in administration or economics, or other education deemed equivalent by the employer
  • experience in administrative work (preferably in a coordinating role)
  • experience in budget work

Desirable:

  • experience in administrative work within preschool/school
  • experience working in project form or with change management
  • experience working in operational systems
